Contacts aren’t members, and contacts are what they charge for

A member company has several people at it: whoever pays the bill, whoever comes to events, the committee delegate. Here that’s one member. On Wild Apricot it’s 2 or more contacts, and the contact count is what sets your price. Not every competitor works that way: Haven also counts members.

Wild Apricot’s own definition: “Everyone in your WildApricot database is a contact. A contact can be a member, an event attendee, a donor, a newsletter subscriber, or any combination of these roles.” Lapsed members keep counting until you archive them, and their help center tells you to do exactly that.

If you run events or send a newsletter you’ll hold more, and the tier you land on goes up with it. Your books come out again
The dues roll, meaning every member with their declared figure, their tier and what they owe, downloads as a spreadsheet. So do the payments. Invoices come out in QuickBooks Online or Xero format for your accountant.

Cheaper options exist

Join It is $29, MembershipWorks is $35, Haven is $49. Saying we’re the cheapest would be checkable and false. What none of them does is hold a dues schedule: their membership levels are flat named plans, so your members still pick their own.

Wild Apricot is also more complete. It has events, a website builder, email campaigns and a store, none of which is here. If you want one system for all of it, buy theirs.

Questions

Can it handle dues based on number of employees?
Yes. That’s the whole product. You build a dues schedule keyed to whatever your dues are based on, each member declares a figure once a year, and the tier resolves itself. A figure that fits no tier waits for you to decide instead of getting rounded to the nearest one.
Do our members need to create accounts?
No. Each member gets a link, confirms their details, types their number and pays. No login, no password, nothing to remember, and nothing for you to reset in January.
What counts as a member company?
One organization that pays dues. However many people at it you keep contact details for, it’s one member here. That’s the whole difference from being billed per contact.
Can we still take checks?
Yes, and it isn’t an afterthought. Record a check against an invoice and it settles, in part or in full, and the member stops getting chased.
Do you take a percentage of our dues?
No. Members pay into your own Stripe or PayPal account and the money never passes through us. Join It takes up to 3%, Raklet takes 4% plus 60¢, Memberful takes 4.9%, MemberPlanet takes 2%.
Can we import from our current system?
Yes. Export a CSV and map the columns. An export with one row per person is expected, and people at the same company are grouped into one member.
Is there a contract?
No. Monthly, cancel whenever you like, and no setup or onboarding fee.
